Eliminate 8 Manual Tasks from your Booking Process with Dubsado
When creating the process for potential clients to book with me, I knew I needed to create a low-barrier, fluid process for them to do so. I wanted to collect enough information to be prepared for their discovery call, while eliminating the back-and-forth emails and as many manual tasks as possible on my end because as a busy wife, mom and entrepreneur, I will protect my time as much as possible. So, here’s how I’ve utilized Dubsado to create a process that takes a potential client less than 10 minutes to complete and eliminates these 8 manual tasks from my booking process:
Data entry. I have a call-to-action button in many places on my website that links to my Dubsado lead capture form. On the form, I ask a series of 12 quick questions that a potential client can answer top-of-mind (name, address, phone etc.). All of the data that the person inputs into the form is captured and as soon as the form is submitted, a new project is generated in Dubsado for me with all of their info in one place.
Tracking lead source data. One of the questions that I ask on the lead form is how the potential client heard about me. This is a specific question type within the form elements that allows Dubsado to track this for me on the backend. This is valuable data for me to know and understand where my leads are coming from so that I can make data-driven decisions on where to cultivate and nurture those lead sources.
Organizing Projects. As I mentioned above, the submission of the lead capture form generates a new project within the system with all of the potential client’s info within the project. I have set up project statuses to keep my projects organized by where they are at in my pipeline. And within the lead capture form, I have assigned a default status for the project so as soon as the form is submitted, the project goes into my “inquiry” status. This eliminates the need to manually organize my pipeline and projects in a spreadsheet or other format.
Back and forth emails. One of my pet peeves is the back and forth people do when trying to find a time to meet together. As soon as a potential client submits my lead capture form, I have it set-up to redirect them to a public scheduler to book their discovery call. Dubsado displays my availability based on the parameters that I’ve set within the system and any appointments that I have on my calendar and allows the potential lead to select an available time that works best for them.
Scheduling appointments. Once they’ve picked their time, they receive a confirmation email and have the ability to add the appointment directly to their calendar (it adds it to mine too!). Since it’s already integrated with my Zoom account, it provides them with the link for our call and eliminates the need for me to manually create a Zoom meeting and send them a calendar invite with the information on it.
Appointment reminders. Within my Dubsado scheduler, I have set up appointment reminders to be sent automatically in advance of the meeting to remind the potential client of our upcoming appointment. This reduces the amount of emails that I have to send manually and increases the likelihood that the appointment will not be missed.
Status Checks. When a new lead capture form is completed and an appointment is scheduled, Dubsado notifies me with an email and a notification within the system itself. This eliminates the need for me to be checking for new inquiries/appointments that might have come to me through other sources.
Begin a workflow. I have my lead capture form set up to automatically start a workflow upon submission of the form. So, what that means is that behind the scenes Dubsado is working for me to get things set up and organized to prepare for the next steps in my process whenever I have a new inquiry.
